JOB OVERVIEW

Ontario Power Generation (OPG) is looking for a dynamic Clerical Support Person to provide administrative service using office equipment and a variety of computer software to produce documents, reports, etc. in accordance with established procedures. The incumbent will perform records management and document control support functions for all the various phases of documentation life cycle management as well as perform routine clerical tasks for the section as required.  This position is located at our facility in Renfrew, ON.

KEY ACCOUNTABILITIES 

The Clerical Support Person is responsible for performing administrative operations clerical and duties including but not limited to:

  • Using computerized office equipment and a variety of commercial software:
    • Produce correspondence, reports, presentation material, standard forms, numerical data, and other documentation
    • Scheduling and maintaining a calendar of events, work schedules and vacation records 
    • Make all necessary arrangements for meetings
    • Make all necessary travel arrangements
    • Prepare/reconcile expenses.
  • Perform records management and document control support functions for all the various phases of documentation life cycle management.
  • Maintain, and update database information, manuals and other associated records. 
  • Generate reports as required and carry out file maintenance of all departmental documentation.
  • Process, distribute and track documentation;  verify details and compile statistics, ensuring deadlines are met, following up as necessary.
  • Maintain stationery and office supplies ensuring sufficient inventory levels are maintained. 
    • Prepare and process material requests and forward for approval. 
    • Check delivery documents against original orders following up on discrepancies by queries to others. 
    • Fulfill stationery and office supply requirements for personnel.
  • Perform routine clerical tasks for the section as required in accordance with established procedures or managerial instruction, such as mail and receptionist duties.
  • Maintain task books and documentation related to all aspects of the position.

EDUCATION

  • Completion of Grade 11 at minimum;
  • A certificate or diploma in Office Administration or Executive Administration is a desirable asset.

 

QUALIFICATIONS

OPG is looking for an administrative team player with the following experience:

  • A minimum of two (2) years' experience in general office procedures to carry out file maintenance activities, associated records functions, and conventional office administration;
  • Expertise in records management, clerical and data entry;
  • Proficiency in documentation processing;
  • Experience in traditional clerical functions, such as secretarial and general office administration;
  • Keyboard skills with a minimum accurate typing speed of 40 accurate words per minute;
  • Advanced proficiency in software applications (MS Word, Excel, PowerPoint and Outlook) is essential. 
  • A flexible, team-oriented attitude.
