JOB OVERVIEW

Ontario Power Generation (OPG) is looking for results driven and innovative leader to join our Administration & Information Management Services team in the role of Senior Manger, Administration.  This position is located out of our Pickering office with local travel required to various OPG offices in the Durham / GTA area.   

Reporting to the Director, Information Service, the Senior Manager, Administration will support in the execution and delivery of centralizing the administrative services function, and managing ongoing transformational changes.  Responsible for leading, developing, and coaching a large team of administrative professional across the organization.  

The Senior Manager, Administration will work closely collaborating and integrating with various Business Unit (BU) Leaders and Executives’, understanding and identify administrative needs, ensuring revised service model aligns with the business requirements.

In this position, you will provide expertise across all aspects of administration and operational business support. You will be accountable for synthesizing the complexity of the organization, assessing support needs, developing and recommending best practices, policies and process that align with the business.

You will be key resource leading transformational changes to the role of administration at OPG, leveraging technologies and tools.  You will be responsible for stakeholder management, design of changes to service model, implementation of changes, development of measurements and monitoring for continuous improvements.

KEY ACCOUNTABILITIES

  • Accountable to the business (enterprise wide), as a centre-led matrix services organization, for providing administration and operational support services, while achieving goals to align with OPG’s business transformation strategy;
  • Partner with Senior Leaders and Business Unit (BU) Leaders to identify priorities, address challenges, resolve issues, and recommend solutions;  
  • Engage key stakeholders, develop and maintain relationships to assess, design and support the adoption of OPG’s updated administrative services delivery model;
  • Ensure the administration team of resources is delivering high quality, consistent and reliable services, while continuing to maintain a strong focus on leveraging tools and best practices;
  • As part of the leadership team, responsible to provide effective leadership to a large team of administrative and support resources across the organization, to maintain a highly engaged, motivated, skilled, service oriented workforce; while providing a safe and positive work environment;
  • Maintain staff by recruiting, selecting, orienting, and training administrative resources.  Assign staff across the business;
  • Gather feedback from business unit leaders, assess staff performance, communicate job expectations, provide coaching, counseling and guidance as required;
  • Influence cultural changes required to contiguously improve performance, introduce innovative workplace practices by leveraging and utilizing technology;
  • Be a role model in support of sustainability as it relates to OPG’s environmental footprint, carry forward the movement of a paperless workplace;
  • Develop business plans, budgets, resource strategies, and performance standards to meet the needs of the business;
  • Stay current and up to date with all organizational changes and business developments; and
  • Keep abreast of industry best practices and provide recommendation to senior management which support strategic objectives. Develop and establish practices, policies and processes in areas of;  
  • Ensuring compliance with legal requirements, governance, copyright, branding, legal and regulatory requirements;
  • Centralizing mail, courier and printing operations;
  • Process optimization and standardizations; reviewing administrative procedures and systems and devising ways to streamline processes;
  • Delivery of services within budget, establishing key performance indicators and service levels agreements.  Monitor and measure, adjust to continuously improve and ensure services continually align with the needs of the business and industry standards;
  • Training requirements to ensure workforce is capable of providing established services; and
  • Optimize resource utilization and allocations. 

 

EDUCATION

  • Bachelor's Degree/College Diploma in Business Administration, Change Management, or a related discipline is required. 

 

QUALIFICATIONS

We are seeking a results-driven and experienced administrative leader with the following:

Minimum 6-10 years of progressive experience in administration / operations management, with experience in leading change.  Exposure working through business transformations activities. Strong interest in innovation and transforming processes to delivering results; 

  • Comprehensive understanding of how the role of administrative services is changing, experience applying revised service models.  Stay current and abreast on emerging and innovative solutions, practices, tactics and trends;
  • In-depth understanding of administrative procedures and processes;
  • Strong leadership skills with a minimum of 3 years of management experience; where effectively lead, influenced and motivated a team of administrative / operational support staff, and/or administrative department;
  • Facilitative leadership approach; ability to build high performing resources and engage employees to performing at their best.  Demonstrated experience developing and utilizing teams to achieve best results;
  • Strong interpersonal skills, knowledge and experience in building, shaping and maintaining productive relationships and strong partnerships across business units and among a wide variety of internal stakeholders and executives across the organization; highly collaborative and effective team player;
  • Superior written and verbal communication skills; ability to influence and communicate effectively across the company at all levels; Ability to gain buy in from stakeholders and staff;
  • Strong business acumen, ability to navigate and understand the organization, business units, programs, and initiatives in order to provide a support systems that deliver results, and works in a cross-functional environment;
  • Able to synthesize complex and diverse information and distill down to the key points;
  • Strong problem solving skills to address and overcome current and future challenges;
  • Must possess a high level of energy, commitment, enthusiasm and professional demeanor to take on challenging situations in a dynamic and complex organization;
  • Confident but approachable and respected spokesperson in representing the administrative services department;
  • Proven track record on delivering results, a passion and desire to support the business in meeting its goals and strategic objectives;
  • Self-starter with excellent organizational and time management skills, must be able to work in a fast-paced changing environment while effectively managing and adapting to multiple priorities;
  • Proficiency in MS Office (Word, PowerPoint, Excel, Access, and Outlook) and Microsoft 365 Suite of Business Applications (One Drive, One Note, Teams, Yammer, Skype for Business, PowerApps, Stream, etc.).  Advanced skills specifically using PowerPoint, creating engaging presentations and training materials;
  • Committed to technology and a paperless workplace, be a role model for the team/organization, lead by example using a wide variety of tools and systems;
  • Must be able to handle sensitive information in a completely confidential manner; and
  • Previous experience working for a highly regulated industry such as; utilities, energy, mining, oil & gas, manufacturing, health care, telecommunications, financial services or public sector (Broader Public Services, Municipal, Provincial and or Federal Government) is preferred.
