JOB OVERVIEW
Ontario Power Generation (OPG) is looking for a dynamic, strategic and results-driven professional to join our team in the role of Senior Executive Administrative Assistant.
Reporting to the Senior Vice President & Chief Ethics Officer, this position is responsible to manage daily operations, coordinate high-level meetings, and ensure smooth communication across senior leadership. Be a key player in streamlining processes, handling confidential matters, and driving organizational success!
KEY ACCOUNTABILITIES
- Manage the daily operations of the Office of the Executive Leadership Team, including communications, records, and file management.
- Coordinate schedules, meetings, and events for the Executive Leadership Team, ensuring confidentiality and sensitivity.
- Prepare and process confidential materials related to corporate business, executive appointments, and labour relations.
- Administer correspondence, including reports, grievances, and general administrative material.
- Review meeting agendas and coordinate briefing materials for speeches, meetings, and conferences.
- Organize logistics for meetings and conferences, including agendas, handouts, and equipment arrangements.
- Ensure required participants attend meetings and prepare materials for meetings, such as slides or handouts.
- Handle travel and accommodation arrangements for the Supervisor and staff, adhering to travel policies.
- Manage incoming mail for the Supervisor, prioritizing and organizing correspondence and supporting data for responses.
- Oversee the flow of approval documents, ensuring they meet necessary formats, approvals, and supporting data for signature.
QUALIFICATIONS
- Post-secondary diploma or degree in Business Administration, Communications, or a related field preferred.
- Minimum 10 years of experience providing senior executive administrative support.
- Exceptional organizational abilities with a keen eye for detail.
- Outstanding written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
- Strong ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.
- Demonstrated discretion and the ability to handle confidential information with integrity.
- Excellent problem-solving skills and the capacity to work autonomously.
- Superb interpersonal skills and the ability to collaborate effectively across all organizational levels.

This position is moving to OPG Corporate Headquarters: In Summer 2025, OPG will officially welcome employees to our new Corporate Headquarters located at 1908 Colonel Sam Drive, Oshawa, Ontario. This position will be temporarily based in Whitby, ON until the move to Headquarters in the Summer of 2025.

The base salary range considers many factors including, but not limited to experience, education, and training, including any collective agreement requirements for union represented positions. It is not typical for the salary to be offered near the top of the range, and salary is dependent on numerous factors. For management roles, the base salary range does not represent the total compensation package. The total compensation package for regular full-time management roles includes pay-for-performance programs for annual and medium time periods.
